Creating a Learner Record

This guide walks you through the process of creating a learner record using:

  • The New Learner Wizard (ILR standalone)
  • The Events Hub Integration (with Enrol or Eportfolio)

⚠️ Note: You must be logged in with a suitable user role. Learner records will be assigned to the Provider and Site you are logged into.

Using the New Learner Wizard

  • Log in with either a Power User or User role.
  • Expand the Learners menu on the left side of the screen.
  • Click New Learner to launch the wizard.
  • Click the Calendar icon to select the Learner Start Date.

    This date determines the data specification and validation rules.

  • Confirm or change the Funding Model.
  • (Optional) Add:
    • Expected Length of Stay (in months)
    • Planned End Date
    • Delivery Postcode
      Then click Next.
  • Select a Template that matches the chosen Funding Model and click Next.
  • Choose the relevant Employer and click Next.

You’ll now see the data entry tabs:

  • Learner
  • Employer
  • Programme (if applicable)
  • Aims
  • Progress

Complete any blank fields and click Update in the bottom-left corner.

✅ Validation checks will run automatically. Errors will appear in the Information panel on the right.
A success message will confirm:
“The ILR for [Learner Name] has been saved successfully.”

Using the Events Hub Integration

Once integrated with Enrol or Eportfolio, you can convert Events Hub learners into full ILRs.

  • Log in with either a Power User or User role.
  • Click Events Hub from the left-hand menu.
  • Search for and select the learner record to convert.

    Click Search without criteria to view all received learners.

  • Click Convert to ILR in the bottom-left corner.
  • Select the Learner Start Date using the Calendar icon.
  • Confirm or change the Funding Model.
  • Choose a Template and click Next.

You’ll now see the data entry tabs, pre-filled with:

  • Template data
  • Learner details from Events Hub

Complete any remaining fields and click Update.

✅ Once converted, the record is removed from Events Hub search results so you can focus on new submissions.
